Rickard 1936 Ltd Trading as Rickard Chartered Surveyors are a data controller.  This means we are responsible for deciding how we hold and use your personal information.  This notice is in order to make you aware of how and why your personal data will be used, namely for the purposes of business transactions conducted with our firm and/or including employment. This provides you with a certain information required under the General Data Protection Regulation (EU2016/679) (GDPR).

We will comply with the above Regulation and confirm that your data will be only used lawfully, fairly and relevant to these purposes.  This information will be kept accurate and up to date and retained only for as long as necessary in a secure place.

What Information We Hold

We hold information on you in connection with the services we provide for you.  We will collect, store and use the following captures of personal information provided to us in relation to the service/employment provided including:

• Contact telephone numbers.
• Money laundering information in order to comply with Money Laundering Regulations 2017 Immigration Act.
• Right to Rent information.
• Information relating to our Property Mailing Lists – This may include information regarding your finances and personal circumstances.
• Due Diligence regarding background checks when putting forward a property offer.

How Your Personal Information is Collated.

We collect and hold personal information obtained from the following sources:

• Third Parties provided by yourself.
• Publically accessible sources.
• Third party money laundering/referencing companies.

How Do We Use The Information Collected.

We use information collected from the above sources as follows:

• To fulfil our obligations with regards to services provided and/or employment.
• We share your information only where necessary to fulfil our legal and agency obligations.
• To communicate with yourselves during the course of service provided
• Statistical and analytical purposes to be used within our business model

How Long Do We Hold Your Data For

We retain your personal data for differing lengths of time, proportionate to the service/employment situation undertaken in accordance with current regulations.

Security of Data

Your data will be stored in an appropriate place, relative to the level of information provided by yourself.

We have, in place, procedures to deal with any suspected data security breach and will notify you and any regulator of any suspected breach where we are legally required to do so.

Rights of Access, Corrections, Erasure and Restriction

Under the General Protection Data Regulations 2017 you have the right to see personal information about you that we hold on our records;  request correction and erasure of your personal information or request the transfer of your personal information to a third party.

Please note, however, that legal and regulatory requirements mean that not all information will be capable of being deleted, for example, to comply with money laundering regulations and Right to Rent Legislation, tax liability etc.

 You can withdraw your consent at any time.  However, please note this may effect the service/employment with ourselves.
